I'm interested in using a room in a school. What do I need to do?

To book any Trillium Lakelands District School Board facilities you must use an online Booking Registration Form.

How much will it cost?

How do I know what "group" I fall into?

There is a guide on our online Booking Registration Form that will help you clarify where your group should be.

How much notice do I have to give before booking a room? 

We require a minimum of five business days to process a permit.

Is insurance required?

Yes, we require proof of a minimum of $2 million General Liability coverage with Trillium Lakelands District School Board listed as additional insured.

What do I do if my group does not have their own insurance?

Why are community groups charged a fee for using a school facility? 

The Trillium Lakelands DSB Community Use of Schools initiative allows the public access to our facilities when they are not in use by the school on a cost recovery basis. Facility usage by outside groups generates additional costs in the form of utilities, custodial overtime and general wear and tear.

Use of school facilities by the general public is encouraged by the school board, but the additional costs that are incurred by the school board  need to be taken into consideration. The Ministry of Education provides a set amount of funding for this initiative and it does not cover all costs associated with allowing after-hours use.

Which schools are available? 

All elementary and secondary schools in Trillium Lakelands District School Board are available.

When are the schools available? 

Most schools are available Monday – Friday from 6pm to 10pm. Most schools are also available on weekends but additional custodial overtime charges will apply.

A list of all of the available spaces and the costs associated with them are listed on our online Booking Registration Form. Most schools will have a classroom, a library, a gymnasium, and a field that are available for rent.

When should youth groups book rooms for the year?

On June 1st, prior to the beginning of the school year, a two week period of time will be provided exclusively for the booking of facilities by youth oriented groups. Following this period, booking will be open to all groups.

Can we use the school’s equipment? 

Only tables and chairs are available at all schools. Any additional requests will be addressed on a per permit basis.

What happens on inclement weather days?

All school permits by external groups will be cancelled when school buses are cancelled due to inclement weather or the schools are closed due to any other causes beyond the control of the Board. The rental office will electronically notify the contact person for the affected groups.

What if I don't have email?

 An online Booking Registration Form may be downloaded or picked up at a TLDSB school. The completed form can then be faxed or mailed to the Facility Use Office.
